When publishing a position, roles can be advertised internally, externally, or both. Each publishing option targets a different audience and is designed to support different recruitment goals. Understanding how internal and external publishing work helps ensure roles are visible to the right candidates.

Internal and external publishing explained

External publishing is designed for candidates outside the organisation and makes roles visible on the external candidate site.

Internal publishing is used by existing employees who want to apply for roles within the organisation. Internal vacancies are displayed on the internal site and are only accessible to authorised employees.

The internal site functions in a similar way to the external candidate site, with differences tailored specifically for internal applicants.


How the internal site works

Employees must register using their work email address to access internal vacancies. This mirrors the external candidate experience while ensuring that only current employees can view and apply for internal roles.

🤓 Tip: Using a work email address ensures access is restricted to authorised employees only.


Key differences between internal and external publishing

Internal and external publishing can be configured with separate application processes and separate selection processes.

This allows questionnaire forms and hiring workflows to be tailored differently for internal mobility compared to external recruitment, ensuring each candidate group is assessed appropriately.

📌 Note: Using separate processes helps streamline hiring and supports fair and consistent assessment for each audience.


Identify where candidates applied from

The source of an application can be identified by checking the application reference:

  • EXT indicates an external application

  • INT indicates an internal application
