SMTP server migration

Important information and action required for customers using Access Recruit.

Overview

We are migrating the SMTP server used to send emails from Access Recruit. The current server will be replaced with an updated Access Group hosted SMTP server. This change improves the reliability of email delivery from Access Recruit and brings your service onto a fully supported, Access Group managed infrastructure.


What does this mean for you?

Because at least one area of your Access Recruit system is currently configured to send emails from your own organisation's email address, there are some minor amendments required before we make the switch. No downtime is required for the migration to take place. You have two options — please choose the one that best suits your organisation:

Use the Access Group sending address (Recommended)

Switch to [email protected] as the sending address for all emails from Access Recruit. This is our recommended approach as DKIM will be configured automatically — no changes to your IT systems are required.

Option 2: Keep your own sending address

You can continue to use your own organisation's email address. To ensure emails deliver reliably, your IT team will need to publish a DKIM record and make an addition to your SPF record in your DNS settings. We will provide everything they need — these are straightforward, low-impact changes.

Details of the required changes have been shared with your admins via Access Recruit in-application comms.

Please note: if the required DKIM and SPF changes have not been made by 30th June 2026, we will automatically switch your environment to use [email protected] as the sending address.

Please let us know your preference at your earliest convenience.

If you are happy to proceed with [email protected] as your sending address, no further action is needed on your side.

If you would prefer to keep your own sending address, please get in touch and we will provide your IT team with the specific DKIM record and SPF guidance they will need — the changes themselves are quick and straightforward for an IT administrator to make.
